This policy covers qboid.ai: its pages, forms, chat and demo booking, and the cookies it sets.
Our general Privacy Policy (opens in a new tab) covers everything else: how we use your contact details once you are in touch with us (sales, support, emails, resellers and partners), our store and our customers, and data captured by QBOID devices or stored in QBOID Cloud.
What we collect
What you type into the site
- Contact and demo forms: first and last name, work email, company, phone (optional), what you need to measure, and your message.
- Chat: what you write in the chat, and any name, email or phone number you give there. Automated replies are written by a language model from the chat text.
- Demo booking: the time you choose, your email for the meeting invitation, and anything you add to the booking.
We don't ask for sensitive information (such as health data or government ID numbers) and ask you not to send it.
What the site collects automatically
- Technical data sent by every browser: IP address, browser and device type, pages requested, and the referring page. Our website host uses it to deliver the site. The services that supply parts of each page (HubSpot, and YouTube for video thumbnails) receive your IP address when your browser fetches them.
- Analytics and advertising cookies: only the ones listed in our cookie policy. If you are in the EEA, the UK or Switzerland, we set them only after you agree. Elsewhere they are on unless you turn them off in Cookie settings.
- Visits linked to your enquiry: if analytics cookies are on when you send a form, HubSpot links the pages you viewed to your contact record.
- Advertising: if advertising cookies are on, Google Ads records that you visited, so we can measure which ad clicks lead to an enquiry and show our ads to past visitors on other sites.
Why we use it
For visitors in the EEA, UK and Switzerland, the "Legal basis" column gives the legal basis for each use.
| Purpose | Information used | Legal basis (EU/UK) |
|---|---|---|
| Answer your enquiry and arrange a demo | Form and demo booking details | Steps you ask for before a contract; our legitimate interest in answering business enquiries |
| Answer chat messages, automatically or in person | Chat messages and the contact details you give in the chat | Our legitimate interest in answering questions; steps you ask for before a contract |
| Understand how the site is used and improve it | Analytics cookies and usage data | Consent (cookie banner) |
| Measure our ads and show them to past visitors | Advertising cookies, pages viewed | Consent (cookie banner) |
| Deliver the site and keep it and its forms secure | Technical data, strictly necessary cookies | Legitimate interest in a working, secure site |
| Meet legal obligations and defend legal claims | Any of the above, as needed | Legal obligation; legitimate interest |
We do not use your information for automated decisions that have legal or similarly significant effects on you. Once you are in touch with us, our general Privacy Policy (opens in a new tab) explains how we use your contact details from then on.
Who receives it
The site runs on service providers ("processors") that handle information only on our instructions and under contracts that protect it.
| Provider | What they do for the site | Where |
|---|---|---|
| HubSpot, Inc. | Receives the forms, chat and demo bookings; website analytics | United States |
| OpenAI | Writes the chat's automated replies from your messages; doesn't use them to train its models | United States |
| Google LLC | Google Analytics: website analytics. Google Ads: ad measurement and remarketing | United States |
| YouTube (Google) | Plays a video only when you click it, from youtube-nocookie.com; shows some video thumbnails | United States |
We may also disclose information when the law requires it, or to protect our rights, our customers or the public.
Selling
We do not sell personal information.
If your browser sends a Global Privacy Control signal, advertising cookies are off unless you turn them on. Browsers' older "Do Not Track" signal has no agreed meaning, so the site does not respond to it; use Cookie settings or Global Privacy Control instead.
Cookies and analytics
The site uses a small number of cookies, from HubSpot, Google Analytics and Google Ads. Strictly necessary ones are always on. In the EEA, the UK and Switzerland, analytics and advertising cookies are set only after you agree; elsewhere they are on unless you turn them off. The cookie policy lists each cookie, its provider and how long it lasts. Videos load from YouTube only when you click play.
You can change your choice at any time from Cookie settings.
International transfers
QBOID INC is based in the United States, and the site's service providers process information there. If you are outside the United States, the information you send through the site goes to the United States, where privacy laws may differ from yours. We protect it as this policy describes, wherever it is processed.
How long we keep it
- Form, chat and demo booking details go into our contact records, and are kept as our general Privacy Policy (opens in a new tab) describes: while we are in touch or have a business relationship, or until you ask us to delete them.
- Cookies last as long as the cookie policy lists for each one.
We may keep information longer when the law requires it, or to resolve a dispute or enforce an agreement.
Your rights
Wherever you are, you can ask what information we hold about you, and ask us to correct or delete it. Depending on where you live, you may have the rights below.
US residents, including California
Residents of California and other states with privacy laws may have the right to:
- know what personal information we collect, use and disclose, and get a copy of it;
- correct inaccurate information, and have information deleted;
- opt out of the sale or sharing of personal information and of targeted advertising (we do not sell it, and you can turn off advertising cookies in Cookie settings);
- not be treated differently for using these rights;
- appeal our answer, where your state's law provides it.
You can use an authorized agent; we may ask for proof that they act for you. We answer verified requests within 45 days.
EEA, UK and Switzerland
You have the right to access your personal data, have it corrected or erased, restrict or object to how we use it, and receive it in a portable format. You can withdraw consent at any time without affecting earlier processing. We answer within one month.
You can also complain to the data protection authority where you live or work: in the UK, the Information Commissioner's Office. We'd appreciate the chance to answer your concern first.
How to make a request
Email [email protected] with the subject "Privacy request", or write to us at the address under Contact us. To protect your information, we check your identity, usually by replying to the email address we hold for you.
Children
This site is for businesses. It is not directed to children under 13, or the age of digital consent where you live, and we do not knowingly collect their information. If you think a child has sent us information, contact us and we will delete it.
Security
The site is served over HTTPS. Access to personal information is limited to staff and providers who need it for the purposes above, and our providers protect it under contract. No system is completely secure, so we can't guarantee the security of information sent over the internet. To report a security issue, email [email protected] with the subject "Security issue".
Changes to this policy
We will post any change on this page and update the date at the top. If a change is significant, we will also show a notice on the site before it takes effect.
